OVERVIEW
The Allow Download Draft Revision & PDF Preview permission allows the user to Preview the PDF and also Download the Revisions in DMS items that are in Draft/In Work State. It displays the Preview PDF icon and Uncontrolled Download icon in the Actions column only for the latest Draft revision. This option is specific to DMS Work Items.
HOW TO ENABLE/DISABLE ALLOW DOWNLOAD DRAFT REVISION & PDF PREVIEW PERMISSION:
To enable or disable Allow Download Draft Revision & PDF Preview permission, the user needs to follow simple steps
- Select the Groups from Users & Groups in Admin (Make sure the user selects the group related to a required project and a user)
- Click on the View icon against the Group you want to update the permission
- Select the Work Item Permissions tab
- Select the DMS Item from the selection list.
- Select the ‘Allow Download Draft Revision and PDF Preview‘ checkbox.
Users can now see the Preview PDF and Uncontrolled Download icon
- To remove the permission, uncheck the checkbox for ‘Allow Download Draft Revision and PDF Preview‘ option.
The user will not see the Preview PDF and Uncontrolled Download icon
Note: The user needs to refresh from settings or re-login to apply the changes.
Benefits of Enabling the “Allow Download Draft Revision” and “PDF Preview” Options:
When a user adds a revision, a PDF is automatically generated and displayed in the item’s revision grid, along with a Regenerate PDF icon. Any changes made to the item will be reflected in the preview by clicking the Regenerate PDF button. Additionally, a Preview PDF link will be accessible on the signing page, ensuring quick and seamless document review.
